Privacy notice
This notice explains how Cloud Agile Ltd uses personal information collected through cloudagile.co.uk. It covers our own website and enquiry handling. It does not cover personal data we process on behalf of our customers when providing IT services; that is governed by our agreements with those customers.
Who we are
Cloud Agile Ltd is the controller of the personal information described here. We are a company registered in England and Wales (company number 12565797), with our registered office at 204 Dunstable Road, Totternhoe, Dunstable, Bedfordshire, LU6 2AN. We are registered with the Information Commissioner’s Office under reference ZC103830.

What we collect
Enquiry forms (the contact page and the Microsoft 365 migration page): your name, work email address, company and message, plus your phone number if you choose to give it. Phone is optional; all other fields are needed so we can understand and reply to your enquiry. We also record which page the enquiry was sent from.
Service finders: the static selector runs in your browser without sending free text to an AI provider. If you separately choose and consent to the AI finder, your description is sent through the Lovable AI Gateway to the configured provider to suggest relevant services. We do not save either as an enquiry unless you choose to carry information into the contact form and submit it.
Booking a call: our booking buttons open Microsoft Bookings, where you enter the details needed to arrange the call.
Analytics and cookies: only if you allow them, information about how you use the site, such as pages viewed and whether an enquiry was sent. We never send your form contents to analytics. See our cookie notice.
Why we use it and our lawful basis
Responding to business enquiries and bookings: we rely on our legitimate interests in responding to organisations that contact us about our services, discussing their requirements and managing the resulting sales conversation. Where you ask us to take steps before entering into a contract with you, we may also rely on that basis. You can object at any time by emailing hello@cloudagile.co.uk.
Static service selector: our legitimate interests in helping visitors identify relevant services. The optional AI finder relies on the separate consent shown beside that tool.
Analytics and embedded maps: your consent, which you can withdraw at any time using the Cookie settings link at the bottom of every page.
Marketing
Sending an enquiry or booking a call does not sign you up to marketing. If you contact us about an enquiry, we will send you communications relating to that enquiry only. We do not add enquirers to newsletters or promotional marketing because they submitted an enquiry. Any marketing we may send separately will always offer a simple way to opt out.
Who receives your information
We share personal information only with the services we use to run the website and handle enquiries:
- our website hosting and database provider (Lovable), which stores enquiry submissions;
- Microsoft, for our team's email inbox, Teams notifications and Microsoft Bookings;
- our website provider's email delivery service (Lovable), which sends a copy of each enquiry by email to our team's inbox;
- ConnectWise: our team manually records relevant enquiry details so we can manage and follow up on them. Enquiries are not sent to ConnectWise automatically from the website. HubSpot is not used in the current website enquiry flow.
- OpenAI, accessed through the Lovable AI Gateway, when you consent to AI service-finder processing;
- Cloudflare, which protects and delivers the website;
- Google (Analytics and Maps) and Ahrefs, only if you consent.
We do not sell personal information.
How long we keep it
Enquiries that do not lead to a customer relationship, or that become inactive, are kept for 12 months after the last meaningful interaction and then deleted. If you become a customer, your records follow our separate customer retention schedule.
For standalone booking records, where no customer relationship follows, our retention period is 12 months after the appointment. Relevant customer records follow our separate customer retention schedule.
Static selector choices and AI finder text are not stored as an enquiry unless you choose to carry them into the contact form and submit it. Gateway and provider request or technical-log retention is still being verified. Analytics cookie durations are set out in our cookie notice.
Your rights
You have the right to ask for access to your personal information, and to ask us to correct it, delete it, restrict how we use it, or transfer it. You have the right to object to our use of it based on legitimate interests, and an absolute right to object to direct marketing. Where we rely on consent, you can withdraw it at any time; this does not affect anything done before you withdrew it.
To make a request, email hello@cloudagile.co.uk. We do not make decisions about you based solely on automated processing that have legal or similarly significant effects. The service finder only suggests services; it does not decide anything about you.
Complaints
If you are unhappy with how we have handled your information, please contact us first at hello@cloudagile.co.uk. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

Customers and prospective customers can request our data processing terms and information about our sub-processors by emailing hello@cloudagile.co.uk.
