Microsoft 365 Migration Services for UK Businesses
A planned migration of mail, files, permissions and identities into Microsoft 365, delivered as a defined project with a scope you agree before anything moves.
Our Approach to Microsoft 365 Migration
A Microsoft 365 migration goes wrong when the discovery is thin, not when the data is difficult. Cloud Agile has delivered several Microsoft 365 migrations for UK organisations, and we run each one as a defined project: understand what you have, agree what moves and what is left behind, migrate in controlled stages, then validate the result with you before the old platform is switched off. You will know who is doing what at every stage, including where your own team or incumbent provider needs to act.
Everything You Need From Microsoft 365 Migration
- Discovery of users, mailboxes, files, permissions and licensing
- Migration plan with agreed scope, sequencing and cutover dates
- Email, OneDrive, SharePoint and Teams migration
- Tenant-to-tenant migration and tenant consolidation
- Identity, MFA and access control configuration
- Testing, user communications and post-migration support
Who this service helps
We work with organisations that are moving into Microsoft 365 for the first time, changing IT provider and needing their tenant taken over or moved, consolidating two or more tenants after a merger or acquisition, or coming off another email and file platform such as Google Workspace or an on-premises mail and file server.
It is a project service with a defined start and end, delivered either as a standalone piece of work or as the first stage of a longer support relationship.
Discovery and migration planning
Discovery comes first and is never a formality. We record what exists today and what it depends on, because that is what determines the plan, the sequence and the realistic timescale.
- Users, shared mailboxes, distribution groups and mail flow, including anything routed through third-party filtering
- Mailbox and file data volumes, archive data and what is in scope to move
- File locations and existing permission structures, including shared drives and personal storage in daily use
- Applications and integrations that authenticate against your current platform or send mail through it
- Devices, printing and any line-of-business dependency that a cutover would interrupt
- Licensing: what you hold now, what the destination tenant needs and when each licence must be in place
Migration delivery
Delivery follows the agreed scope rather than an all-or-nothing switch. Mail, OneDrive, SharePoint and Teams content are migrated in stages, with a pilot group first wherever the environment allows it.
Tenant-to-tenant work is handled the same way, including consolidating multiple tenants into one where that is the agreed outcome. Where content is genuinely better archived or left behind, we say so during planning rather than moving it and billing for the effort.
- Mailboxes, shared mailboxes and calendars, with mail flow cutover planned to a specific window
- OneDrive and file data into SharePoint or OneDrive with permissions mapped to the agreed structure
- Teams and the channels, files and membership behind them, where in scope
- Tenant-to-tenant migrations and tenant consolidation after a merger, acquisition or provider change
Security and validation
A migration is the practical moment to fix the identity and access decisions that are hard to revisit later, so security configuration is part of the project rather than a follow-up quote.
- Identity, user provisioning and administrative access in the destination tenant
- Multi-factor authentication and conditional access applied before users move, not after
- Sharing, external access and permission structures reviewed against how you actually work
- Backup considerations for Microsoft 365 data, which is not retained indefinitely by Microsoft
- Testing of mail flow, file access and applications, with issues resolved before the old platform is retired
- User communications and clear instructions so people know what changes and when
Handover and ongoing support
Every project ends with documentation of the tenant as built, the administrative access arrangements and anything deliberately left out of scope. If you have an internal IT team, we work alongside them throughout and hand over in a form they can run with.
Where you would rather we kept the tenant, the same engineers continue under our managed or co-managed IT support. There is no obligation to take support to have the migration delivered.
Microsoft 365 migration for Suffolk businesses
Suffolk organisations can be supported by our Ipswich-based team for planning sessions, onsite discovery and cutover support. Most of the migration work is delivered remotely, but having a team that knows the county means site visits and face-to-face user briefings are straightforward to arrange when they help the project land smoothly.

- 1
Assess
Discovery of users, mail, files, permissions, applications and licensing, and what each of them depends on.
- 2
Plan
An agreed scope, sequence and cutover window, with the responsibilities of each party written down.
- 3
Migrate
Staged migration of mail, files, SharePoint and Teams, starting with a pilot group wherever practical.
- 4
Validate
Testing of mail flow, file access, permissions and applications, with users supported through the change.
- 5
Support
Documented handover to you or your IT team, with post-migration support while everyone settles in.
The Outcomes You'll Actually See
A scope agreed before anything moves
Discovery establishes what moves, what is archived and who is responsible, so the plan is not rewritten mid-project.
Security decided during the move
Identity, MFA, conditional access and sharing controls are configured as part of the migration rather than left for later.
Validated before the old platform goes
Mail flow, files, permissions and applications are tested with you before anything is decommissioned.
What Success Looks Like
- One Microsoft 365 tenant, configured and documented
- Mail, files and permissions where they should be
- A clear handover to your team or to ongoing support
Where Microsoft 365 Migration Makes the Biggest Difference
Changing IT provider and taking the tenant with you
You are leaving an incumbent provider who holds administrative control of your Microsoft 365 tenant and the handover is unclear.
What we deliver: We establish what access exists, plan the transfer of control, and rebaseline identity, security and licensing so the tenant is properly yours and documented.
Consolidating tenants after an acquisition
Two organisations are now one business but run separate Microsoft 365 tenants, with duplicate identities, licensing and inconsistent security settings.
What we deliver: We migrate mail, files and Teams into a single tenant, reconcile identities and permissions, and apply one consistent set of access controls.
Moving off an on-premises mail and file server
Ageing server hardware is holding mail and shared drives, and remote access is a patchwork of workarounds.
What we deliver: We migrate mailboxes and file data into Microsoft 365, map permissions to a structure that reflects how teams work, and retire the dependency on the server room.
Coming off another email and file platform
You are moving from Google Workspace or another platform and are unsure what can move, what breaks and what happens to shared files.
What we deliver: Discovery establishes exactly what is in scope, we migrate in staged waves with a pilot group first, and we test mail flow and file access before the old platform is switched off.

Who is eligible for a Microsoft 365 migration?+
UK organisations moving into Microsoft 365, changing IT provider, consolidating tenants after a merger or acquisition, or leaving another email and file platform can use this service. It is available as a standalone project, so you do not need to take ongoing managed IT support.
Which areas do you support?+
Cloud Agile supports organisations across its UK service areas. Most discovery, migration and post-migration work is delivered remotely, with onsite planning, user briefings or cutover support arranged where it adds practical value.
What response times apply during and after the migration?+
Migration activity and cutover support are scheduled in the agreed project plan. After handover, ongoing response times depend on the managed or co-managed support arrangement you choose; standalone projects include post-migration support while users settle in.
What does onboarding involve?+
Onboarding starts with discovery of users, mailboxes, files, permissions, applications and licensing. We then document the scope, responsibilities, migration sequence, cutover dates, testing and rollback decisions before any data is moved.
How much disruption should we expect?+
Most of the work happens in the background before anything changes for users. The noticeable points are the mail cutover, which is planned into an agreed window, and the first sign-in afterwards, when people may need to re-authenticate and reconnect devices. We migrate in stages and pilot first where the environment allows, so problems surface with a small group rather than the whole organisation.
What data can be moved?+
Mailboxes, shared mailboxes, calendars and contacts, file data from servers, shared drives or another cloud platform, SharePoint and OneDrive content, and Teams with its files and membership. What is technically possible depends on the source platform and how it is licensed, which is exactly what discovery establishes. Some legacy or poorly structured data is better archived than migrated, and we tell you that during planning.
Can you migrate from one Microsoft 365 tenant to another?+
Yes. Tenant-to-tenant migrations are common when a business changes provider, separates from a parent company or acquires another organisation. We also consolidate several tenants into one, which involves reconciling identities, licensing, permissions and mail routing rather than simply copying data across.
Do we need to change IT provider to use this service?+
No. The migration is a standalone project and we work alongside an internal IT team or an incumbent provider where that is the arrangement. If you would like us to keep the tenant afterwards, the same engineers continue under our managed or co-managed IT support, but that is a separate decision.
What support do we get after the migration is finished?+
Every project includes post-migration support while people settle in, covering the reconnection and access questions that follow any move, plus documentation of the tenant as built and the administrative access arrangements. Longer-term support is available through our managed IT support service if you want it.
Do we still need backup once we are on Microsoft 365?+
Microsoft keeps your service available, but it does not retain your data indefinitely on your behalf. Deleted mail and files are recoverable only within the retention periods configured in the tenant. We cover retention and third-party backup during the migration so the position is a decision you have made rather than an assumption.
