Care Providers

IT Support and Cyber Security for Care Homes and Care Providers

Care runs 24 hours a day, and so must the technology behind it. Digital care records, medication systems, call bells, staff rotas and family communication all depend on connectivity that cannot drop at 3am. Cloud Agile supports care homes, supported living services and domiciliary care providers with systems that stay up, evidence that satisfies the Data Security and Protection Toolkit, and support that understands a care setting is not an office.

The Problems We Typically Find in Care Providers

These are the issues that come up again and again when we audit organisations in this sector. If more than two look familiar, a conversation is probably worth having.

Connectivity that was never designed for the building

Wi-Fi installed for the office, not for carers using handhelds at the far end of a Victorian building with thick walls. Records get written up late, or on paper, which defeats the point.

Shared devices and shared logins

Handhelds and station PCs passed between shifts, often with a single login, so audit trails cannot show who recorded what.

Multi-site estates with no standard

Each home has different hardware, a different broadband provider and a different local fix. Nothing is repeatable and every problem is investigated from scratch.

High staff turnover and agency workers

Constant onboarding and offboarding, often at short notice, with access that lingers long after someone has moved on.

DSPT and CQC evidence gathered in a panic

The toolkit submission and inspection preparation become an annual scramble because nobody is maintaining the underlying evidence through the year.

Ransomware risk against records you cannot lose

Care records are exactly the sort of data attackers know you must recover, and backup regimes are often untested.

Services and Technology That Fit Care Providers

One senior team covering support, infrastructure, security, governance and AI, so nothing falls between suppliers.

Managed and co-managed IT support

Support that recognises care operates outside office hours, with clear escalation for anything affecting medication systems, care records or resident safety, and onsite attendance when hardware needs hands. Explore our business IT support services.

Networks and connectivity for care settings

Site surveys and Wi-Fi design that actually covers bedrooms, corridors and gardens, with resilient broadband and segregated networks so resident and guest traffic never touches clinical systems. Explore our cloud and infrastructure services.

Security and identity for shift-based teams

Individual accounts with fast, practical sign-in for shared devices, multi-factor authentication, endpoint protection and monitoring that flags unusual access to care records. Explore our managed cyber security services.

Backup and disaster recovery

Immutable backups of care records and business systems with recovery that has been tested, not assumed, plus a continuity plan covering what staff do while systems are being restored. Explore our backup and disaster recovery services.

Security and Compliance Requirements

Care providers answer to the CQC, NHS data standards and the ICO, often simultaneously. These are the requirements that shape most of the technical work we do.

  • Data Security and Protection Toolkit (DSPT)

Annual assertion against national data security standards. We maintain the technical evidence, asset registers and policies the toolkit expects.

  • CQC key lines of enquiry

Well-led and safe domains both touch records management, access control and business continuity. We provide documentation inspectors can be shown directly.

  • UK GDPR and special category data

Health and care records need stricter access control, logging and retention than ordinary business data, including where families and professionals are given access.

  • Cyber Essentials

Frequently required by local authority and NHS commissioning contracts, and a sensible baseline regardless.

  • NHS mail and secure information sharing

Safe exchange of resident information with GPs, districts nurses and hospital teams, without falling back on unprotected personal email.

  • Business continuity

A documented, tested plan for running the service when systems are unavailable, which is both good practice and an inspection expectation.

  • Backup and long-term record retention

Care records, safeguarding notes and email held in immutable, encrypted backup with retention of seven years or more where the record type demands it, including adult social care retention expectations and longer holds for children's records. Evidence of tested restores supports both DSPT and CQC inspection.

A Typical Onboarding Process

  1. 1

    Discovery call

We cover your services, sites, care records system, current pain points and any upcoming inspection or DSPT deadline.

  2. 2

    Site and systems audit

Per-site review of connectivity, Wi-Fi coverage, devices, accounts, backups and security, mapped against DSPT requirements so gaps are visible from day one.

  3. 3

    Prioritised plan and quote

Safety-critical fixes first: connectivity, backup and access control. Improvement work is sequenced so a multi-site estate is standardised over time rather than all at once.

  4. 4

    Transition

Rolled out site by site around shift patterns, with handover documentation left in each home and named contacts for managers.

  5. 5

    Steady state and review

Ongoing support with quarterly reviews covering incidents, DSPT progress and the technology plan for the next quarter.

Co-Managed or Fully Managed Support

Both models are priced the same way per user. The difference is how much you keep in-house.

Fully managed

The most common model in care, where there is no internal IT capability across the homes.

  • Helpdesk for managers, nurses and care staff
  • Standardised device builds across every site
  • Monitoring of connectivity and critical systems
  • Care records and medication system supplier liaison
  • DSPT evidence maintained continuously

Co-managed

For larger groups with an internal IT manager or systems lead covering multiple homes.

  • We absorb first-line and out-of-hours demand
  • Your team keeps ownership of the care records platform
  • Senior engineering support for network and security projects
  • Extra capacity during acquisitions and new home openings

AI and Automation Opportunities in Care Providers

AI in care must never sit between a carer and a resident's safety. We focus on the administrative load around care, not on clinical judgement.

Rota and staffing administration

Automation of shift confirmations, agency requests and timesheet chasing, reducing the hours managers spend on the phone.

Compliance and training tracking

Automated tracking of mandatory training, DBS renewals and right-to-work expiry, with reminders before they lapse rather than after.

Policy and audit drafting

Copilot producing first drafts of policy updates and internal audit summaries from your existing documentation, reviewed and signed off by a person.

Governance and boundaries

A clear policy stating that resident-identifiable information does not go into general-purpose AI tools, backed by technical controls and staff training.

More detail on how we approach this is on our AI consultancy and automation services page.

Our Pricing Approach

Managed support is priced per user per month: Agile Core at £45 per user and Agile Fortify at £75 per user. Servers are £100 each per month and network devices £10 each per month, which matters in care where each home carries its own switching, access points and firewall.

Project work such as a Wi-Fi redesign, a new home opening or a multi-site standardisation programme is quoted separately, based on £120 per hour consultancy. Multi-site groups are quoted as a whole rather than home by home.

Not-for-profit care providers should tell us on the discovery call, as discounted pricing applies.

Care Providers FAQs

Common Questions

Yes. Care does not stop at 5pm, so we provide out-of-hours escalation for issues affecting care records, medication systems, connectivity or resident safety. The escalation path is agreed with you at onboarding so night staff know exactly what to do.

Yes. We maintain the technical evidence the toolkit requires throughout the year, including asset registers, patching records, access control and backup testing, so the annual submission is a review rather than a scramble.

Yes, and it is one of the most common issues we resolve in care. We carry out a proper site survey, design coverage for the way the building is actually used, and separate resident, guest and operational traffic onto different networks.

Yes. We do not replace clinical or care record systems. We make sure the infrastructure, devices, connectivity and accounts around them are reliable, and we handle liaison with the provider when an issue crosses the boundary.

We move away from shared logins wherever the care system allows it, using individual accounts with fast sign-in so the audit trail is accurate without slowing carers down.

Yes. We support multi-site groups across the East of England and the Midlands, standardising each home onto the same build and security baseline so problems become repeatable and quick to fix.

We work remotely as standard and onsite where it genuinely helps. Choose a region to see how our support, security and consultancy work locally.
