Logistics & Freight

IT Support and Cyber Security for Logistics and Freight Operators

In logistics, downtime is measured in missed despatch windows and unhappy customers, not in tickets. Transport management systems, warehouse scanning, telematics, customs declarations and EDI links to customers all have to work at once, across depots that are rarely designed for technology. Cloud Agile keeps those systems available, the network resilient and the operation defensible against attacks that increasingly target supply chains.

The Problems We Typically Find in Logistics and Freight

These are the issues that come up again and again when we audit organisations in this sector. If more than two look familiar, a conversation is probably worth having.

Warehouse connectivity that drops mid-scan

Racking, refrigeration and steel structures wreck Wi-Fi designed for an office. Handheld scanners lose coverage in the aisles that matter most.

TMS and WMS downtime with immediate cost

When the transport or warehouse system stops, loading stops. Every minute maps directly onto missed collection slots and penalty clauses.

Depots and sites with no common standard

Each site with its own broadband, its own kit and its own workaround, so nothing is repeatable and remote diagnosis is guesswork.

Customer and supply chain security demands

Large retailers, manufacturers and 3PL partners now audit their carriers, and contracts increasingly hinge on evidence of cyber controls.

Customs and border systems access

Freight forwarders depend on customs platforms and EDI links where an outage or credential problem halts clearance entirely.

Shift-based and mobile workforces

Drivers, warehouse operatives and agency staff using shared and mobile devices, often with weak account hygiene and no device management.

Services and Technology That Fit Logistics and Freight

One senior team covering support, infrastructure, security, governance and AI, so nothing falls between suppliers.

Managed and co-managed IT support

Support aligned to operational hours rather than office hours, with priority escalation for anything that stops despatch, and onsite attendance across depots when hardware needs hands. Explore our business IT support services.

Depot networks and warehouse Wi-Fi

Proper site surveys and Wi-Fi design for racking and cold storage, resilient connectivity with automatic failover, and segregated networks so operational technology is isolated from general traffic. Explore our cloud and infrastructure services.

Cyber security for supply chain scrutiny

Endpoint and email protection, identity controls across shift workers, network segmentation and managed detection and response, plus the evidence your customers' audits ask for. Explore our managed cyber security services.

Backup, continuity and disaster recovery

Immutable backups and tested recovery for TMS, WMS and finance systems, with a documented plan for keeping vehicles moving on paper while systems are restored. Explore our backup and disaster recovery services.

Security and Compliance Requirements

Logistics compliance is driven as much by customers and insurers as by regulators, but the technical expectations are becoming standardised.

  • Cyber Essentials and Cyber Essentials Plus

Now a common contractual requirement from retailers, manufacturers and public sector contracts, and a frequent tender gate.

  • Customer supply chain audits

Detailed questionnaires covering access control, patching, incident response and business continuity, answered with evidence rather than assurances.

  • UK GDPR

Driver, telematics and consignee data, including where tracking and camera systems capture personal information.

  • Customs and border systems

Reliable, controlled access to customs declaration platforms and EDI connections, with credential management that survives staff turnover.

  • Operator licence record keeping

Maintenance, tachograph and compliance records retained securely and retrievable when the traffic commissioner or an auditor asks.

  • Business continuity

A tested plan covering how the operation continues when systems or connectivity are lost, which customers increasingly ask to see.

  • Backup and 7 year data retention

TMS, WMS and email data held in immutable, encrypted backup with retention of seven years or more, covering customs declaration records HMRC expects to be kept for at least six years, operator licence maintenance and tachograph evidence, and customer contract history. Tested restores back up what your audits claim.

A Typical Onboarding Process

  1. 1

    Discovery call

Sites, systems, operating hours, customer audit requirements and the incidents that are currently costing you time.

  2. 2

    Site and systems audit

Per-depot review of connectivity, Wi-Fi coverage in the operational areas, network hardware, devices, backups and security controls.

  3. 3

    Prioritised plan and quote

Availability and connectivity risks first, since those cost money immediately, followed by the security work that unlocks or protects customer contracts.

  4. 4

    Transition

Rolled out depot by depot around shift patterns and peak periods, with no change made during a customer's peak season.

  5. 5

    Steady state and review

Ongoing support with quarterly reviews covering uptime, incidents, audit readiness and planned site changes.

Co-Managed or Fully Managed Support

Both models are priced the same way per user. The difference is how much you keep in-house.

Fully managed

For operators without internal IT across their depots.

  • Helpdesk aligned to operational hours
  • Standardised builds for office, warehouse and mobile devices
  • Monitoring of connectivity, network hardware and critical systems
  • TMS, WMS and telematics vendor liaison
  • Customer audit evidence maintained year round

Co-managed

For groups with an internal IT lead covering multiple sites.

  • We absorb first-line, night and weekend cover
  • Your team keeps ownership of operational systems
  • Senior engineering for network, security and site-opening projects
  • Extra capacity during acquisitions and depot moves

AI and Automation Opportunities in Logistics and Freight

Logistics generates enormous volumes of repetitive document handling and exception chasing, which is where automation pays back fastest.

Proof of delivery and document processing

Automated capture, recognition and filing of PODs, delivery notes and invoices, removing manual keying and speeding up invoicing.

Customs and freight documentation

Extraction and validation of data from commercial invoices and packing lists to pre-populate declarations, with human checks before submission.

Exception and delay handling

Automated customer notifications when a consignment is at risk, so the customer service team handles exceptions rather than status requests.

Operational reporting

Automated daily and weekly reporting on on-time performance, utilisation and cost per drop, drawn from systems you already run.

Governance

Clear boundaries on customer and driver data in AI tools, with technical controls and staff training to back them up.

More detail on how we approach this is on our AI consultancy and automation services page.

Our Pricing Approach

Managed support is priced per user per month: Agile Core at £45 per user and Agile Fortify at £75 per user. Servers are £100 each per month and network devices £10 each per month, which is the line that matters most in logistics, where each depot carries firewalls, switches and multiple access points.

Warehouse Wi-Fi surveys and redesigns, depot openings, network refreshes and Cyber Essentials preparation are quoted as projects at £120 per hour consultancy. Multi-depot operators are quoted as a single estate rather than site by site.

Logistics and Freight FAQs

Common Questions

Yes, and it is one of the most common reasons logistics operators come to us. We carry out a proper site survey that accounts for racking, cold storage and metal structures, then design coverage for the aisles and loading bays where scanning actually happens.

Yes. Logistics runs on shifts, so we agree escalation cover aligned to your operating hours, with priority handling for anything that stops despatch or loading.

We support the infrastructure, connectivity, devices and integrations those systems rely on, and we manage escalation with your TMS or WMS vendor when a fault sits inside the application.

Yes. We prepare operators for Cyber Essentials and Cyber Essentials Plus, align to ISO 27001 where large customers expect it, and maintain the evidence needed to answer supply chain questionnaires without a scramble each time.

Yes. We standardise every site onto the same build and security baseline, monitor connectivity centrally, and attend onsite across our regions when hardware needs hands.

We design resilient connectivity with automatic failover so a single line failure does not stop the site, and where a full outage does occur we have a documented continuity process agreed with you in advance.

We work remotely as standard and onsite where it genuinely helps. Choose a region to see how our support, security and consultancy work locally.
